Job Summary

We are seeking a dedicated and detail-oriented Secretary / Legal Assistant to support our legal team across a variety of practice areas, including real estate, zoning, wills, and more. The ideal candidate will possess strong organizational skills, the ability to speak with clients in person and by telephone, legal research capabilities, and proficiency with case management systems. This role offers an opportunity to work in a dynamic law office environment, providing essential administrative and legal support to attorneys and clients alike.

Responsibilities

  • Manage and organize legal documents, case files, and correspondence using document management systems such as Qualia.
  • Draft legal documents including deeds, Powers of Attorney, and correspondence with accuracy and attention to detail.
  • Review and analyze legal documents for accuracy, completeness, and compliance with applicable laws.
  • Assist attorneys with client interviews and maintain confidentiality during sensitive information handling.
  • Perform administrative duties such as data entry, filing, typing, scheduling appointments, managing calendars, and providing executive administrative support.
  • Maintain effective communication with clients via phone etiquette and professional correspondence.
  • Proofread legal documents for errors in spelling, grammar, or formatting before submission.
  • Support the firm’s overall operations through clerical tasks including transcription and organizing and closing legal files.

Skills

  • Extensive knowledge of various practice areas including real estate law.
  • Proficiency with legal software such as Word, Qualia, Outlook, and familiarity with document review and case management tools.
  • Excellent writing skills for drafting correspondence.
  • Proven experience in legal administrative tasks including filing systems and data entry.
  • Exceptional organizational skills with the ability to manage multiple cases simultaneously.
  • Attention to detail in proofreading and document review processes.
  • Effective communication skills coupled with professional phone etiquette.
  • Experience supporting attorneys in client management within a busy law office environment. This position requires a candidate who is proactive in managing responsibilities efficiently while maintaining high standards of accuracy and confidentiality. Prior paralegal experience or legal administrative experience is highly valued for this role. Prior experience in closing real estate transactions is a definite plus.

Job Type: Part-time

Pay: $23.00 per hour
