Remote Event Logistics Assistant – Vendor & Schedule Coordination

Job Summary

Houston Skilled Consultancy is seeking a proactive and detail-oriented Remote Event Logistics Assistant to support the planning and execution of virtual and hybrid events. This role is essential in ensuring the smooth coordination of vendors, event scheduling, and backend logistics. You will work closely with the event planning team to manage timelines, liaise with service providers, and ensure all logistics run efficiently. Key Responsibilities

  • Coordinate schedules and availability for vendors, speakers, and event participants.

  • Maintain accurate and up-to-date event calendars, timelines, and task trackers.

  • Liaise with third-party service providers including technical support, catering (for hybrid events), and event platforms.

  • Handle logistics related to digital tools, virtual venues, time zone planning, and resource distribution.

  • Track vendor agreements, monitor deliverables, and ensure compliance with deadlines.

  • Assist with setup and testing of event platforms such as Zoom, Microsoft Teams, or WebEx.

  • Manage incoming communications from vendors and partners and provide timely updates to internal stakeholders.

  • Troubleshoot scheduling conflicts and resolve logistical issues prior to and during events.

  • Support the post-event reporting process, gathering feedback and data from vendors and team members.

Required Skills and Qualifications

  • Strong organizational and time-management skills.

  • Proficient in using Google Workspace or Microsoft Office (Excel, Docs, Calendar, etc.).

  • Familiarity with online meeting tools and event platforms (e.g., Zoom, Eventbrite, Hopin).

  • Excellent written and verbal communication skills.

  • Ability to work independently, take initiative, and multitask effectively.

  • Comfortable working in a remote, collaborative environment.

Experience

  • 1–3 years of experience in event planning, vendor coordination, project management, or administrative support.

  • Experience in a remote work setting is highly desirable.

  • Prior experience in supporting virtual events is a plus.

Working Hours

  • Flexible working hours with the ability to accommodate different time zones.

  • Must be available during key event hours and for team check-ins.

  • Part-time and full-time options available (minimum 20 hours per week).
