Responsibilities

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
  • Manage multi-line phone systems efficiently, directing calls to appropriate personnel with professionalism and courtesy.
  • Handle incoming and outgoing correspondence, including emails, mailings, and packages.
  • Maintain front desk area’s cleanliness and organization to promote a professional atmosphere.
  • Assist with clerical duties such as data entry, filing, proofreading documents, and updating records accurately.
  • Support office management tasks including calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software.
  • Provide customer support by answering inquiries, offering information about services or appointments, and managing visitor sign-in procedures.

Skills

  • Proven experience in front desk operations or office administration with strong organizational skills.
  • Excellent phone etiquette with the ability to handle multi-line phone systems confidently.
  • Bilingual abilities are highly desirable to serve diverse clientele effectively.
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
  • Strong data entry skills with attention to detail for accurate record keeping and proofreading.
  • Familiarity with office management software such as QuickBooks for bookkeeping tasks.
  • Exceptional time management skills to prioritize tasks efficiently in a busy environment.
